ShipHero ASN settings and statuses
This page lists every setting that controls how SKU.io sends purchase orders to a ShipHero warehouse as ShipHero purchase orders, and every status a purchase order's ASN can show. For the steps to turn it on and send a purchase order, see Send purchase orders to your ShipHero 3PL.
In ShipHero, an ASN (advance shipment notice) is a purchase order: it tells the warehouse what's arriving, so it can receive it. The settings live on your ShipHero connection: go to Apps & Integrations → All Integrations, open the connection, click Settings, and open the ASNs tab. Its three sub-tabs, Sending, Content and After sending, each have their own Save Changes button, and save only their own settings.
Sending
The Sending sub-tab turns sending on and decides when purchase orders go.
| Setting | What it does | When to change it | Default |
|---|---|---|---|
| Send purchase orders to ShipHero | The main switch. On: purchase orders to a mapped warehouse are created in ShipHero as ShipHero purchase orders. Off: purchase orders to the warehouse are emailed to the 3PL as an ASN spreadsheet, as before. The line under it lists the SKU.io warehouses it covers and the ShipHero warehouse each one maps to. | Turn it on once your 3PL agrees to receive purchase orders this way. | Off |
| When to send | Manually sends a purchase order only when you click Send ASN (or Send to ShipHero in the preview). On approval sends it automatically when it's approved. On submission sends it automatically when it's submitted to the supplier. Automatic sends run in the background; one that fails shows on the purchase order and on the connection's Purchase Orders tab. | Start with Manually for your first few purchase orders, then switch to the automatic option that matches how you work. | Manually |
| Wait before sending | Minutes to wait before an automatic send, so a buyer can fix a mistake first. It's ignored for manual sends. | Raise it if purchase orders are often corrected right after they're approved or submitted. | 0 minutes |
| Inbound shipment (Also create a ShipHero inbound shipment) | Off: the carrier and tracking number go on the ShipHero purchase order itself. On: SKU.io also creates a ShipHero inbound shipment linked to the purchase order, with the carrier, tracking, ETA and BOL. | Turn it on only if your 3PL checks deliveries in against inbound shipments. | Off |
| Email the spreadsheet (backup spreadsheet) | Emails the 3PL its usual ASN spreadsheet as well as creating the ShipHero purchase order. It goes in the same step as each purchase order is sent, not ahead of it. Off sends no spreadsheet. With each PO, required stops the send if the email can't go, so your 3PL never gets the purchase order without its spreadsheet. With each PO, best effort emails it once the purchase order is in ShipHero, and the purchase order still goes if the email fails. For the next sets how many purchase orders get it; leave it empty for every purchase order. | Use With each PO, required while your 3PL moves from spreadsheets to API purchase orders and wants to check the first few. | Off |
| For the next … POs | Shown when the backup spreadsheet is on. How many more purchase orders include it. It counts down with each purchase order sent, and at 0 the backup turns itself off. Leave it empty to keep sending it. The note under the setting says how many are left and where they go. | Set it to the number of purchase orders your 3PL wants to check. | Empty (every purchase order) |
| Spreadsheet columns | The layout of the emailed spreadsheet. Standard uses the usual ASN columns (SKU, UPC, Product Name, Qty and so on) in your ASN file format. ISN, 4 columns has the columns PO Number, Vendor, Sku and Quantity, and is always a CSV file named ISN-<PO number>.csv. Preview spreadsheet shows the email and attachment for a purchase order you pick, without sending anything, and Download sample saves the file. | Pick the layout your 3PL asked for. Its importer reads the exact header row. | Standard |
| Warehouse transfers (Send transfers into this warehouse to ShipHero as POs too) | Also sends warehouse transfers into this warehouse to ShipHero as purchase orders, at $0.00. | Turn it on if your 3PL wants transfers announced the same way as supplier deliveries. | Off |
| Vendor for transfers | Shown when transfers are on. A transfer has no supplier, so ShipHero needs a vendor: The source warehouse uses the name of the warehouse the stock comes from; One of my ShipHero vendors uses a vendor you pick. | Pick a vendor if your 3PL files all transfers under one. | The source warehouse |
| Amazon removals | Shown when transfers are on. PO number sets how removal orders coming back from Amazon are numbered, and Note starts with sets the start of their note. Each line's note carries its FNSKU and condition. | Match the convention your 3PL asked for. | RMV-{reference} and AMAZON REMOVAL |
The Send a test PO to ShipHero link under the switch lets you pick a purchase order and open its preview.
Content
The Content sub-tab decides what each ShipHero purchase order carries. You can set it up while sending is off; it applies once it's on.
PO details
| Setting | What it does | When to change it | Default |
|---|---|---|---|
| Product name sent | Which name goes on each line: Product name, Supplier product name, PO line description, or SKU, and the most characters it may have (up to … characters, from 10 to 255). Longer names are cut at a word, and the preview flags every name that was cut. | Lower the limit to what your 3PL's system accepts. | Product name, up to 70 characters |
| Prices (Send unit costs) | Off: every line goes to ShipHero at $0.00, so the warehouse doesn't see your costs. On: each line carries its unit cost, and the purchase order carries its totals. | Turn it on only if your 3PL needs costs. | Off |
| Tracking number (Put the PO's tracking number on the ShipHero PO) | Copies the purchase order's carrier and tracking number to ShipHero, so the warehouse can follow the delivery. | Turn it off if you don't want tracking shared. | On |
| PO date | ShipHero has no expected-arrival field, so this date is what the warehouse sees. Expected arrival uses the purchase order's expected arrival, then its ship date, then today. Order date uses the date the purchase order was placed. Don't send a date leaves it empty. | Use Order date if your 3PL plans by order date. | Expected arrival |
| PO number in ShipHero | The number the purchase order gets in ShipHero. {po_number} is the SKU.io purchase order number, and it must stay in. The Revision ending is added when a purchase order is cancelled and sent again, with {n} as 2, 3 and so on. | Add a prefix or suffix if your 3PL wants one, such as ACME-{po_number}. | {po_number}, revision ending -R{n} |
| Notes | PO note is what the warehouse reads on the purchase order; Packing note goes to whoever receives it. Words in braces are filled in for each purchase order: {supplier}, {po_number}, {eta}, {carrier}, {tracking}, {notes} and {sku_io_url}. | Add the details your receiving team asks for. | PO note {notes}; packing note empty |
Account and links
| Setting | What it does | When to change it | Default |
|---|---|---|---|
| Which client's account POs are created in | Shown only when the connection may use your 3PL's own login, which can see all its clients. Pick the client the purchase orders belong to, or ShipHero files them under the 3PL's own account. With a brand (client) login, purchase orders already go to your own account. | Set it if you connected with the 3PL's login. | Empty |
| Open POs in | Where a ShipHero purchase order's link opens. Don't link outside SKU.io opens SKU.io's own ShipHero PO page. ShipHero app also links to the purchase order in the ShipHero app, for people with their own ShipHero login. My 3PL's portal also links to the purchase order's page in your 3PL's portal, from a link you enter under Advanced: your 3PL's portal link, with {legacy_id} where the ShipHero PO number goes. | Pick another option only if your team can sign in there. 3PL client logins usually can't see purchase orders in ShipHero or the 3PL's portal. | Don't link outside SKU.io |
Vendors and products
| Setting | What it does | When to change it | Default |
|---|---|---|---|
| Vendor on the ShipHero PO | Match or create uses the supplier's ShipHero vendor (a saved match on the Vendors tab first, then by name), and creates one if there isn't one, with the supplier's email or the fallback email you enter. Match only uses the supplier's ShipHero vendor and holds the purchase order if there isn't one, until you match it on the Vendors tab. Always one vendor files every purchase order under the vendor you choose. No vendor creates purchase orders without a vendor. | Use Match only if your 3PL controls vendors, or Always one vendor if it files all inbound under one. | Match or create |
| Products ShipHero doesn't have | Hold and email the 3PL: the purchase order waits, and the 3PL is emailed the product details to set up. Hold only: the purchase order waits until the product exists, and nobody is emailed. Create them in ShipHero: SKU.io creates the missing products (name, SKU, barcode, weight and size), then sends the purchase order. | Use Create them in ShipHero only if your 3PL lets you add products. | Hold and email the 3PL |
The 3PL's email address is the destination warehouse's email in SKU.io. A held purchase order is sent once every product exists: automatically when it was going to be sent automatically, or when you choose Re-check & send.
After sending
The After sending sub-tab only applies once a purchase order is in ShipHero. It doesn't affect the first send.
| Setting | What it does | When to change it | Default |
|---|---|---|---|
| When a sent PO is edited | Send automatically: changes go to ShipHero after you save the purchase order. When I push them: the purchase order shows Changes not sent until you click Push changes. Never change it: ShipHero keeps the purchase order as it was first sent, and you tell the 3PL about changes yourself. | Use When I push them if you want to check each change before the warehouse sees it. | Send automatically |
| When lines are added | ShipHero can't add lines to a purchase order it already has. Extra PO puts new lines on an extra purchase order, numbered with a letter (PO-1-A, PO-1-B and so on). Cancel and resend cancels the ShipHero purchase order and sends a new one with every line, which only works before the warehouse starts receiving. Email only only emails the 3PL about the new lines. | Match how your 3PL wants late additions. | Extra PO |
| When a PO is closed in SKU.io | What happens in ShipHero when you close a purchase order in SKU.io that still has quantity to come. Leave it open: the warehouse can still receive what's left. Close it in ShipHero too: the warehouse stops expecting the rest. | Choose Close it in ShipHero too if closing in SKU.io means nothing more is coming. | Leave it open |
| Email the 3PL (Email the 3PL when a sent PO changes) | Each time a change goes to ShipHero, also emails your 3PL a short summary of what changed. While the backup spreadsheet is still counting down, the email attaches a revised spreadsheet. It never sends the first ASN email; that's the backup spreadsheet setting on the ASNs tab. | Turn it off if your 3PL doesn't want change emails. | On |
| When the warehouse receives | Show the counts: the purchase order shows what the warehouse counted in ShipHero, and you receive it in SKU.io yourself. Receive from the counts: a Receive from ShipHero button fills in the receive form for you with what hasn't been received yet. Receive automatically: SKU.io receives each new count for you. SKU.io never receives more than ShipHero counted, less what's already received in SKU.io. | Move to Receive from the counts once you trust the warehouse's counts, and to automatic receiving after that. | Show the counts |
ASN statuses
A purchase order's ASN status shows in the ASN status filter and the ASN Status column on the purchase orders list, on the chip next to the purchase order's status, and on the connection's Purchase Orders tab. The ? next to the filter or column explains each one.
| Status | What it means | What to do |
|---|---|---|
| Not sent | Nothing has gone to the 3PL yet. | Send it, or wait for the automatic send. |
| Emailed | The ASN spreadsheet was emailed to the 3PL. This is how purchase orders go to warehouses without a connected warehouse system, or before ShipHero sending was switched on. | Nothing. |
| Sending | SKU.io is sending the purchase order to ShipHero right now. Shown on the connection's Purchase Orders tab. | Wait a moment and refresh. |
| Sent | The purchase order is in ShipHero and matches SKU.io. The chip shows ShipHero's PO number. | Nothing. |
| Changes not sent | The purchase order changed in SKU.io after it was sent, and the changes still need to go to ShipHero, automatically or with Push changes, depending on the ASNs → After sending settings. | Open it and click Push changes. |
| Held | Not sent yet, because a product or the vendor isn't set up in ShipHero. The chip says which: a number of products missing, or vendor not mapped. | Have the product set up (or match the vendor on the Vendors tab), then choose Re-check & send. Automatic sends retry by themselves. |
| Retrying | ShipHero was busy or didn't answer. SKU.io tries again by itself. | Nothing; check back later. |
| Failed | ShipHero refused the purchase order or couldn't be reached, for example because of a login problem. Hover over the chip to read the error. | Fix the cause, then send it again. |
| Receiving | The warehouse has started receiving against the purchase order. The chip shows units received out of units ordered. | Receive it in SKU.io, unless SKU.io receives it for you. |
| Cancelled | The ShipHero purchase order was cancelled, in SKU.io or by the 3PL. | Nothing. |
| Closed | The ShipHero purchase order is closed in ShipHero. | Nothing. |
| Replaced | A newer revision of the purchase order (for example -R2) replaced this ShipHero purchase order. Shown on the connection's Purchase Orders tab. | Look at the newer revision. |
