Send sales invoices to customers
Preview the invoice
Open an invoice. The Details tab shows a preview of the document, headed "Preview — the PDF and email use your sales invoice template": your company, BILL TO and SHIP TO, the shipment it covers with its tracking number, the Invoice date, Tax point, Due date, Terms, Customer PO and Sales order, the lines, the totals and the Balance due.
Invoices billed from shipments or quantities use your sales invoice template. An order invoice uses your sales order invoice template, the same document as Download PDF Invoice on the order. Edit either under Settings → PDF Templates.
Email an invoice
- Open the invoice and click Email. (On the list, right-click the row and choose Email.)
- To starts with the customer's invoice email. Add more addresses separated by commas, and any Cc.
- Optionally add a Message.
- Click Send.
What you'll see: the invoice PDF is sent using your Sales invoice issued email template. To email many at once, select them on the list and click Email in the bulk bar.
Download the PDF
Click Download PDF in the invoice header, or right-click the row on the list. To download several, select them and click Download PDFs.
Email invoices automatically when they're issued
Turn on Email invoice on issue in Settings → Invoicing. Each invoice is then emailed to the customer as soon as it's issued: to the customer's Invoice email if one is set, otherwise to the order's email. Set the invoice email on the customer's Settings tab, in the Invoicing section.
Combine a customer's orders into one invoice
Some customers want one invoice a week or a month instead of one per order.
- Open the customer and select the Settings tab.
- In the Invoicing section, set Consolidated invoicing to Weekly or Monthly.
- Save the customer.
The customer's shipped, uninvoiced items are then combined into one invoice per period, listed with the Kind Consolidated invoice. Consolidated invoicing is set per customer and never applies to EDI channels. Set it back to Off to return to the customer's normal policy.
Invoices in the customer portal
Customers who use the customer portal see their issued invoices there, with the same due dates and balances you see, and can pay them online. Voided invoices and cancelled orders don't appear.
