Work the sales invoices list

Go to Orders → Sales Invoices. The page lists every sales invoice, with what's owed at the top. Across the top are Invoicing settings, Export and Invoice (create an invoice), and two tabs: Invoices and Uninvoiced shipments.

The cards

Four cards sum up your receivables. Click a card to filter the list to it.

CardShows
OutstandingThe balance still owed on issued invoices (total, less payments and credits), and how many invoices that is.
OverdueIssued invoices with a balance whose due date has passed.
Due in 7 daysIssued invoices with a balance that fall due within the next 7 days.
Uninvoiced shipmentsShipments on Per shipment and Manual orders that no invoice bills yet, and how old the oldest one is.

The money cards follow your current filters and count invoices dated today or earlier, converted to your base currency, so a foreign-currency invoice adds its base-currency value. Hover a card for the same explanation.

Quick views, filters and saved views

The quick views across the top are Unpaid, Overdue, Due in 7 days, Drafts, Awaiting 810 (invoices waiting to go to an EDI trading partner) and Uninvoiced shipments.

The filter bar has Status, Payment, Due status, Customer, Channel, Policy, EDI 810, Accounting (sync state) and Date. Advanced Filters combines conditions, and Columns picks which columns show.

To keep a combination of filters and columns, click Save view and name it. Your views are listed under Views.

Read a row

Each row shows the Invoice #, Sales order, Customer, Status, Payment, Due status, Invoice date, Due date, Total, Paid, Balance, Shipments (the shipments it bills), Accounting (its sync state) and 810. An order invoice carries an Order invoice chip under its number, and a draft reads Draft invoice. A due date worked out from the customer's terms has a from terms hint. For every column, see the reference.

Right-click a row, or use its menu, to Open it, Open sales order, Record payment, Email, Download PDF, Create credit note, Archive or Void.

Bulk actions

Tick rows to show the bulk bar. Choose Selected to act on the rows you ticked, or All filtered to act on everything that matches your filters. Then:

  • Issue drafts issues every selected draft.
  • Email sends each invoice to its customer.
  • Download PDFs builds one file with the selected invoices.
  • Export exports the selection (below).
  • Archive and Unarchive hide or restore invoices on the list.
  • Void voids the selected unpaid invoices that have no credits.

Large runs go to the job tray, so you can keep working while they finish.

Export invoices

  1. Set the filters and the columns you want. The export includes the columns currently visible, plus the invoice ID.
  2. Click Export.
  3. Under Records to export, choose All records or Current page.
  4. Under Content, choose:
    • Invoice summary: one row per sales invoice.
    • Invoice with lines: one row per invoice line, with the invoice details repeated on each.
  5. Choose XLSX (Excel) or CSV, then click Export.

What you'll see: the file downloads. An export of more than 1,000 invoices runs in the background and the file appears in the job tray when it's ready.
