Chase overdue invoices

Work the Overdue view

On Orders → Sales Invoices, click the Overdue card or the Overdue quick view. Every issued invoice past its due date with a balance is listed, with a chip such as Overdue 19 days. Sort by Due date to start with the oldest, then Email the customer, send a pay link, or Record payment when the money arrives.

See who owes what by age

The Receivables Aging report groups open sales invoices by customer and by how far past their due date they are. Open it from Insights → Reports.

  • The cards across the top show Total Outstanding (and how many customers), Overdue (and how many customers are past due) and 90+ Days, the balances most at risk.
  • Aging by Customer has one row per customer, with the balance in Current, 1–30 Days, 31–60 Days, 61–90 Days and 90+ Days, the Total, and Oldest, the age in days of their oldest overdue invoice. Ages over 60 days show in red.
  • Click an amount to open that customer's invoices on the Sales Invoices list: Current opens their open invoices, the other buckets their overdue ones, and Total all of them.
  • Set As of to see the aging on an earlier date, and pick a Customer to narrow it to one.
  • Export downloads the table as a CSV file.

Ages are counted from each invoice's due date, which comes from the customer's terms when the invoice has none of its own. See Due dates from terms.

Send overdue reminders

  1. Go to Settings → Invoicing.
  2. Under Consolidated invoicing & reminders, turn on Overdue payment reminders.
  3. Add the days after the due date when a reminder goes out: type a number of days and click Add. Each appears as a chip, for example 7 days overdue. Remove one with its ×.
  4. Click Save Changes.

Reminders are emailed to customers about unpaid invoices on each of those days. They stop once the invoice is paid. EDI customers aren't emailed.
