Correct an issued invoice

An issued invoice is locked: its lines, prices and number never change, because the customer and your books already have it. You correct it with another document instead:

SituationUse
You billed too much, or the customer gets money back on part of itCreate credit note
You missed a charge, such as freight or a late feeCreate supplementary invoice
The invoice shouldn't exist and nothing's been paid or creditedVoid invoice

All three are under More in the invoice's header. On an order invoice, make corrections on the sales order instead: return or credit it from the order, and change lines and prices there.

Credit an invoice

  1. Open the invoice and choose More → Create credit note. (On the list, right-click the row and choose Create credit note.)
  2. The Credit invoice number dialog lists each line with what was Invoiced and what's still Creditable. Each line starts at everything creditable:
    • to credit part of a line, lower its Credit quantity (or the amount, on a fee line);
    • to leave a line out, set it to 0.
  3. Check the total under Credit (before tax). Tax on the credited lines is added on top, in the same proportion as the invoice.
  4. Optionally add a Note.
  5. Click Create credit note.

What you'll see: the credit note is created and applied to the invoice straight away. The invoice's balance drops by the credit, and the credit posts to your accounting. SKU.io opens the new credit note, and the invoice lists it under Applied credits. If Create credit note is greyed out, hover it to see why, for example "A quantity or amount is more than what is still creditable on its line".

Each line can only be credited up to what was invoiced, less what's already been credited, so you can't credit the same units twice. For returns, see Process a customer return.

Bill a missed charge

  1. Choose More → Create supplementary invoice.
  2. Enter a Description (for example, Freight) and the Amount.
  3. Click Create draft.

What you'll see: a new draft invoice on the same sales order. Review it and click Issue when it's right.

Void an invoice

  1. Choose More → Void invoice.
  2. Enter a Reason and click Void invoice.

Voiding keeps the number (it's never reused) and reverses the posting in your ledger and your accounting system. Shipments the invoice billed become billable again, so you can invoice them correctly.

Only unpaid invoices with no applied credits can be voided. To correct a paid invoice, issue a credit note instead.

Archive or delete

  • Archive hides an invoice from the list without changing it. Use the Archived toggle under the list to see archived invoices, and Unarchive to bring one back.
  • Delete draft removes a draft for good. Drafts have no number yet, so deleting one leaves no gap. Issued invoices can't be deleted.
