Capture damaged items and claim from the vendor

When an item comes back damaged at the register, or you find it damaged on the shelf, record it in one step. SKU.io moves the unit to a blemished SKU so it stops counting as sellable stock and, if you ask, raises a draft credit claim with the supplier.

Before you begin

  • The product has a default supplier if you want to claim from the vendor.
  • Raising a vendor claim needs permission to manage vendor credits.

Steps

  1. Open the product, click Actions, and choose Capture Damage. For an item you'll claim from the supplier, choose Damaged at Register → Claim from Vendor instead, which ticks the claim for you. The same window opens from the RMA list and the receive station.
  2. Choose Customer return or Damaged on our shelf.
  3. Check the Product and Warehouse, and enter the Quantity and a Damage description.
  4. Leave the blemished SKU blank to have one generated.
  5. For a customer return, optionally link the Sales order and the Order line it came from, a Return reason, and a Credit amount per unit to refund the customer.
  6. To claim from the supplier, tick Claim it from the vendor. Check the Supplier (the product's default supplier is filled in), the Claim per unit and, if the supplier gave you one, the Vendor RA #.
  7. Click Capture Damage, or Capture & Claim when you're claiming from the vendor.

The confirmation shows the units captured, the new blemished SKU, any cash credit and the return. Click Capture another to record the next item for the same product.

The vendor claim is created as a draft credit on the supplier's Payables → Credits panel, marked as a damage claim and linked back to the product or return. Nothing posts until you authorise it, which you do once the supplier agrees. Authorising writes the damaged unit off stock once.
